Educational resources for students during this shutdown:

Portales Municipal School District wants to provide families with educational resources during this closure.  The district will be utilizing an online platform called Clever that your child can log into and access learning resources that are appropriate for them, depending on their grade.  Many students are already familiar with Clever and can go to clever.com/in/portalesschools and use the username and password they use at school to log on.  If your child does not know their district username and password you may call Portales Central Office at 575-356-7000 between the hours of 8:00-3:30 Monday through Thursday to obtain this information.  Thank you for your continued efforts to support your child's education during this trying time.

Monday March 30, 2020:

Dear Parents, Guardians, and Students:


As you have probably already heard, the Governor and Secretary of Education have made the determination to cancel attendance at school buildings for the remainder of the school year.  However, everyone in the District, and especially teachers, are preparing to have school beginning April 6th.  School will certainly not be the same as we will begin delivering instruction by different methods starting on the 6th.  School itself has not been cancelled, the buildings have been closed.


Last week teachers started to contact the families of all students in the District.  They have been trying to determine which families have internet access, which families have computers, and who might have tablets or other devices over which instruction can be delivered.  They have been unable to contact some parents and students. If you or your child has not been contacted by a teacher, please contact the District so that we know we have a current and correct phone number and/or e-mail to make contact with you.  Please call (575) 356-7000 to provide that information.  You only need to call if you have not been contacted.  Please do so no later than Thursday, April 2nd so that we can plan to have materials and equipment in place to provide distance instruction.


On April 6th, we will begin a Distance Learning Pilot program.  Teachers will be contacting students through their school e-mails, through Google classroom, or by phone to provide the information and instructions you will need as we deliver instruction until the end of school in May.  Instruction will be provided in several different ways. Our prime method of delivery will be by internet, online. If you do not have internet, Yucca Telecom has offered free internet service for 60 days as long as your home is accessible to their internet lines. If you need this service, please contact Yucca Telecom.  A flyer is attached to this letter for your information.


Students who currently or will have internet connections will, in many cases, be able to receive instruction live or recorded through Google Classroom, Zoom, or other platforms.  Instructions will be provided as to how to use these platforms. Some instruction may be accessed through a particular teacher’s webpage, while other instruction may be delivered via a conference call with several students and the teacher.  Students who do not have internet access and have not received a call from the school by Tuesday, April 7th, need to call Central Office at (575) 356-7000 to advise the District that you do not have internet access.  You will receive a call back from your school to work with you to develop an educational plan to ensure you receive instruction.  Students who do not have a computer or device capable of receiving e-mail or video content may check out a Chromebook from the District.  The Chromebooks will be checked out to parents only for student use at no cost after agreeing to a contract that provides for the return of the Chromebook and acceptable use of same.  I will provide information later this week as to how a parent may make arrangements to check-out a Chromebook.


Regardless of how instruction is delivered, communication will be key.  All teachers will be on call and prepared to answer e-mails with questions you may have about lessons, they will also be available by phone and will be in contact with parents and students to ensure that there is understanding and that work is being completed in a timely fashion.  Only core classes will be required. This means in grades K-4, students will only receive instruction in Reading and Mathematics. Students in grades 5-12 will continue with Reading/English, Mathematics, and Science. Teachers of elective classes in which students are failing will be provided additional instruction and make-up time to help ensure that they are able to pass the class for the year.  Specials in elementary schools and high school Theatre, Band, Choir, and Media Arts will also be offered to help these students maintain necessary skills and training or as a means of providing an enjoyable time for students. Teachers will provide you with “office hours.” These are times that they can be contacted daily for assistance and to answer questions. They will be available by phone and e-mail.  You should receive an answer to your question on the day you call or e-mail. Of course, if students are online during the class, teachers will be available to answer questions at that time.

This year PMSD will continue to offer summer school to junior high and high school students beginning June 1st.  Summer school can still be used as a method to recover credit, or if needed as a means to help support a student who might have fallen behind during the Distance Learning period.  We will also offer a summer school in our elementary schools beginning July 6th to provide support to students who will need it prior to promoting to the next grade or as a means of making up instructional opportunities during the Distance Learning program.


Already, many students are in on-line Social Studies and Dual Credit classes in the high school.  Those classes will continue as always and will conclude at the end of the school year with the other classes.  Students in those classes should already have been notified and should be completing the work. If not, please contact your teacher or college professor immediately so that you can get on track in those classes.


I know that graduation is certainly a concern for our seniors.  Most seniors need to at least complete English IV or college English this semester to have the required credits to graduate.  Many seniors have other classes they need to complete to have the required 24 credits for graduation. Any senior who is in jeopardy of not graduating will be, if you haven’t already been, contacted by a school counselor to help explain your options.  Teachers will be working with you to help make sure that any missed assignments in elective or core classes are provided to you to make them up for credit. Parents please discuss this with your senior children and contact his or her counselor if you are in doubt.  All work moving forward must still be completed in order to pass a class. It is imperative that students do not believe that just because instruction will be delivered differently, that it is not important to complete and can still have a bearing on graduation. Our counselors and teachers stand willing to help every student who is willing to help themselves.  Finally, in regard to graduation, if we are not allowed to get back to school before graduation day of May 22, we will have to make some tough decisions. It is my hope, that by that time the congregation ban will be lifted and even if we don’t return to school buildings, we can still have the opportunity to hold the graduation ceremony. Regardless, it is my intent that should the congregation ban last into June, then we will schedule a graduation in June or July or even December if it comes to that.  I fully intend to ensure there is a graduation ceremony for those who want to attend, even if we have to put it off several months. This is an important ceremony for students and for you parents who have worked hard to help your kids reach this milestone in their lives.


Until the congregation ban is lifted, there will be no athletic events or organized practice.  The same goes for band, choir, BPA, Rocketry, MESA, FFA, and other extra- and co-curricular events.  The NMAA on Friday did cancel all Spring activities and athletics. I believe FFA is discussing conducting the State contest in June during the State Convention if possible.  Others are also working on ways to postpone and not cancel everything. I have relayed to the Band, Theatre, Choir programs and Maypole, that if we are unable to return to having gatherings before the end of school, if their kids are willing, they will be provided a time to present their productions in June if they so desire.  Basically, we will be postponing everything we must and not canceling until that becomes the only option.


Thank you for your patience in reading this long letter.  I know there is a great deal of information to absorb. I also thank you for your patience as we have moved through this first 2 weeks of cancellation.  I appreciate that so many of you have reached out to your schools and your teachers and have followed their advice and provided the activities they have worked so hard to provide.  There are great teachers and staff in this District and your child’s success lays heavy on their hearts as we go through these trying times. 


Just a couple of things before I conclude.  One, remember this is a Remote Distance Learning Pilot program.  I do not expect everything to work exactly how we have it envisioned from the beginning.  There are going to be many glitches we will have to work out. Not everyone might have their lessons or Chromebooks on April 6.  It might take a few days to get this rolled out to everyone. Most likely there will be someone who is missed in the shuffle. If that happens, please don’t become upset, but call so that we can make sure that your problems are addressed.  If a teacher doesn’t hear from you, they will be calling at least once a week to check up on their students. Remember, just because we aren’t in the buildings, the expectation that instruction is happening is still there. The expectation that kids are working on their lessons is still there.  As always, a student’s education cannot happen without assistance from home. This is especially true today. Parents must help provide some educational assistance to your children to help ensure that they do not fall too far behind before the next school year.


And finally, the legal message.  State law still mandates that all school age children attend school.  Although we may not be in the buildings, school is happening. Instruction is being provided and most of the same expectations are in place.  Work must be done in order to receive credit.  Although teachers will work with every student in the District, failure to comply and no work being completed, can lead to failure and a student not moving to the next grade.  Our teachers and staff will work with you in any way we can to help your child succeed.  Let’s face it, this will not be perfect, it will not have the rigor we usually expect, and it certainly won’t be as robust as we would like, but this is what we have to work with right now.  We could throw our hands up and say we’re done right now, but that would not benefit any of our kids or parents in the community. We will not be where we would like to be at the beginning of next school year, but without providing the educational opportunities I have described above, we will most certainly be farther behind.


Again, thank you for everything you do for this District and your kids as we move forward.  Please let us know what we can do better during the next several weeks. I know that I can speak for the entire staff at Portales Municipal Schools when I tell you that your child’s welfare and education is always the greatest priority.
